What a virtual address is (and isn't)

A virtual address is a real street address at a Commercial Mail Receiving Agency (CMRA): staff receive your mail, scan the envelope, and upload contents you ask them to open. To make it legal, USPS Form 1583 — notarized — authorizes the operator to accept mail on your behalf; every legitimate provider requires it, and any that doesn’t is a red flag. It is not a PO Box (banks and states treat those differently) and, in most states, not a registered-agent address — that’s a separate role covered below.

Where states say no

Two separate problems get mixed up here. First: a few states scrutinize CMRA addresses as the principal office on formation papers — filings have bounced in Illinois and a handful of others when the address traced to a mail store, so check your state's guidance or use the provider's LLC-specific address product. Second, and more common: a virtual address is almost never acceptable as the registered agent address, because an agent must be physically present to receive service of process — that's a separate hire, covered in registered agent services.

  1. Pick the location: for an LLC, choose an address in the state where the company is registered (or where your bank expects you to be), and prefer a street address over a suite-numbered mall storefront if image matters.
  2. Notarize Form 1583 online: providers integrate remote notaries (typically $25–40, 10 minutes on camera with your ID); the form authorizes the CMRA to receive your mail.
  3. Put the address to work: use it on the EIN application, bank account and vendor forms. Keep the registered-agent address separate — mixing the two is the most common filing mistake in this topic’s threads.
